This policy explains what personal information RRHA Ltd collects, why we collect it, how long we keep it and the rights you have over it.

Who we are
RRHA Ltd ("RRHA", "we", "us") is the data controller for the personal information described in this policy. Our registered office is 14 Ambrose Avenue, Colchester CO3 4JY, United Kingdom.

What information we collect
We only ask for information we need in order to respond to you and to provide the services you have asked for.
- Contact details — your name, job title, company name, email address, telephone number and postal address.
- Operational details — information about your business that you choose to give us, such as your Operator Licence number, fleet size, transport manager, compliance status, claims history or the details of a legal matter.
- Enquiry content — whatever you write in an enquiry form, email or letter, and notes of our conversations with you.
- Training records — where you ask us to arrange Driver CPC training, the names of the drivers attending and the qualification details needed to register and certify the course.
We do not ask for payment card details through this website.
Why we use it, and our lawful basis
- To respond to your enquiry — our legitimate interest in dealing with enquiries about our services, or the steps necessary to enter into a contract with you.
- To provide our services — performance of our contract with you, including compliance support, training delivery, insurance enquiries and legal referrals.
- To meet legal and regulatory obligations — for example, keeping Driver CPC training records or responding to a lawful request from a regulator.
- To keep our own records — our legitimate interest in maintaining accurate business records and in defending or bringing legal claims.
Where we rely on legitimate interests, we have considered whether our interest is outweighed by your rights, and we will stop processing if you object and we have no overriding reason to continue.
Special category and sensitive information
Some enquiries, particularly legal and employment matters, may involve sensitive information such as health details or details of alleged offences. We only process this where you have given it to us for the purpose of obtaining advice, and we handle it with additional care and restricted access.
Who we share it with
We do not sell your information. We share it only where it is necessary to do what you have asked us to do:
- Regulated insurance intermediaries and insurers, where you have asked us to obtain a quotation.
- Regulated solicitors, where you have asked for legal advice or representation.
- Training and certification bodies, where required to register and certify Driver CPC hours.
- Our service providers — for example email hosting and IT support — who act on our instructions under a written agreement.
- Regulators, courts or law enforcement, where we are legally required to do so.
Where a third party will be advising you directly, we will tell you who they are before your information is passed on.
International transfers
Your information is normally held within the United Kingdom or the European Economic Area. Where a provider we use stores data elsewhere, we make sure an appropriate safeguard is in place, such as UK adequacy regulations or the International Data Transfer Agreement.
How long we keep it
We keep enquiry correspondence for up to two years from our last contact with you if the enquiry does not proceed. Where we provide services, we keep client records for six years after the end of our engagement, in line with the ordinary limitation period for contractual claims. Driver CPC training records are kept for the period required by the certifying body. We delete or anonymise information once we no longer need it.
Your rights
You have the right to ask us to:
- confirm what personal information we hold about you, and give you a copy of it;
- correct information that is inaccurate or incomplete;
- delete information we no longer have a good reason to keep;
- restrict how we use your information while a concern is resolved;
- transfer information you gave us to another provider, where technically possible;
- stop processing based on our legitimate interests, by objecting.
To exercise any of these rights, email enquiries@rrha.co.uk. We will respond within one month. There is no charge for a routine request.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

This website does not use advertising or analytics cookies, and does not track you across other websites. See our cookie policy for details of what the site does and does not store on your device.
Changes to this policy
We review this policy at least annually. If we make a material change we will update the review date at the top of this page.
